The Role – Admin Assistant
We’re looking for an organized, task oriented, highly dependable Administrative Assistant to support our leadership and accounts team.
This role is ideal for someone who:

Approximately 50% of this role will involve directly supporting the CEO through scheduling, meeting preparation, follow-ups, and day-to-day administrative assistance.
The remainder of the role will focus on helping the broader accounts team stay organized across projects, meetings, documentation, and internal operations.
What You’ll Do
Executive Support
Support the CEO with scheduling, calendar management, and meeting coordination
Prepare agendas, notes, presentations, and supporting materials
Track action items, follow-ups, and ongoing priorities
Assist with travel coordination, bookings, and logistics as needed
Help maintain organization across tasks, files, and communications
Client & Meeting Coordination
Coordinate client meetings, workshops, and presentations
Prepare meeting materials and ensure teams are ready in advance
Manage meeting recaps, notes, and follow-up communication
Gather client files, specs, feedback, and reference materials
Administrative & Office Support
Prepare spreadsheets, trackers, and internal documents
Organize files, folders, links, and shared resources
Proofread materials and help ensure accuracy and consistency
Help prep the office for meetings, workshops, and team activities
Support day-to-day studio administration and organization
Vendor & Production Coordination
Coordinate with printers, vendors, and production partners
Gather quotes, pricing, and production estimates
Assist with production timelines and delivery coordination
Process & Team Support
Help identify efficiencies and opportunities to improve workflows
Support internal systems and organizational processes
Assist with team events, client events, and studio initiatives
Contribute to a collaborative, organized, and positive team environment
